This past weekend, we made quite a few updates and improvements to Smartsheet, including adding a feature we’ve had a ton of requests for: sheet and workspace permalinks, which are direct links to the sheet or workspace. We’re pretty excited about this new functionality, and want to walk you through just how permalinks work and when you may want to use them.
When you click the Sharing button at the bottom of a sheet to add a Viewer, Editor, or Admin, you’ll see a new resource: a permalink to your sheet. A permalink is a secure, direct link to your sheet or workspace. This link can be copied and pasted into a browser address bar, an email, or other programs.
All sheet permalinks are secure https URLs, and clicking them will open the sheet in Smartsheet. In order for someone to successfully open the sheet from the link, they have to have been granted access to it in Smartsheet – it’s not available to outside users. None of the sheet’s content, name, or properties will be available to web crawlers, which means this content will never show up in search engine results.
Here are a few ideas for how you can use these new permalinks in your workflow and collaboration.
Email Permalinks: From the ‘Sharing’ screen, you can email the link directly to someone that you would like to share your sheet with. When you click the email icon next to the link, you can customize the message of the email sent from Smartsheet.
Bookmark Sheets in your Browser: Bookmarking some of your sheets arms you with a shortcut tool to quickly find your work.
Consider bookmarking sheets that:
- You access multiple times throughout the day, like a daily task or to do list, so you can easily find and update them quickly.
- You open infrequently – you'll have an extra shortcut to remember how to get to this sheet.
- Have complicated or unique sheet names that may not easily come to mind when searching in Smartsheet
Share Permalink on an Internal Website: Does your team use an intranet, wiki, or Google Site? Sheet permalinks fit perfectly in these environments, and make it that much easier to access certain sheets in Smartsheet, rather than searching through an entire account.
Post the permalink along with a sheet description or explanation of what team members should do once they’re in the sheet – which can be especially helpful for new team members.
Remember, these permalinks are only accessible to people who have been added to the sheet as Viewers, Editors, or Admins. To create a link to the sheet that is accessible to anyone, regardless of sharing permissions, publish the sheet.
